At Quantum Matrix, our certified life coaches are held to a shared ethical standard. This Code of Ethics exists to ensure that every client experience is grounded in integrity, respect, professionalism, and care.

When you work with a Quantum Matrix–certified coach, you can expect the following commitments:

  1. Introduction

    Quantum Matrix Group LLC, doing business as Quantum Matrix Center ("Company," "we," "us," or "our") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit quantummatrixcenter.com (the "Site") and use any services, programs, or products offered through the Site, including Source Sessions, Spiritual Life Coaching, Practitioner Certifications, energy healing modalities, digital products, and speaking engagements (collectively, the "Services").

    Please read this Privacy Policy carefully. By accessing or using the Site, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy. If you do not agree, please discontinue use of the Site immediately.

    This policy applies globally. We recognize that users from different jurisdictions may have specific rights under applicable law, including the General Data Protection Regulation (GDPR) for individuals in the European Economic Area and the California Consumer Privacy Act (CCPA) for California residents.     2.1  Information You Provide Directly

    • Contact & Speaking Inquiry Forms: When you submit an inquiry form on the Site, we collect your first name, last name, email address, phone number, event or program name, budget range, desired date, and project details.

    • Mailing List Sign-Up: When you subscribe to our newsletter or email list, we collect your first name, last name, and email address.

    • Session Waitlist & Booking Notifications: When you request to be notified of Source Session availability, we collect your first name and email address.

    • Purchases & Transactions: When you purchase a digital product through our store, we collect your name, email address, billing address, and payment information. Payment card details are processed by our third-party payment processor and are not stored on our servers.

    • Live Chat: If you interact with our live chat widget, we collect the content of your messages and any contact information you provide during that conversation.

    • Session & Coaching Intake: When you attend a virtual Source Session, coaching program, or energy healing session, we may collect personal, emotional, or wellness-related information you voluntarily share. See Section 6 for our confidentiality commitment.

    • Testimonials: If you choose to provide a testimonial, we may collect your name, likeness, and the content of your testimonial for use in our marketing materials, with your consent.


    2.2 Information Collected Automatically

    • Log Data: Your IP address, browser type, operating system, referring URLs, pages visited, time and date of visit, and other diagnostic data.

    • Cookies & Tracking Technologies: We use cookies, web beacons, pixels, and similar technologies to collect and store information about your browsing behavior. See Section 7 for details.

    • Analytics Data: We use website analytics tools including Squarespace Analytics and potentially Google Analytics to understand how visitors interact with the Site.

    • Device Information: We may collect information about the device you use to access the Site, including hardware model, operating system, unique identifiers, and mobile network information.



    2.3 Information Collected During Virtual Sessions

    • AI-Assisted Note-Taking: We may use AI tools integrated into video conferencing platforms (such as Zoom) for the purpose of taking session notes to support our coaches. Your confidential session information will not be used to train AI systems or shared with third parties for AI development purposes.

    • Session Recordings: We will obtain your consent before recording any session for internal use. Session replays are not provided to clients at this time.



    2.4 Information from Third Parties

    We may receive limited information from third-party platforms including social media sites (Facebook, Instagram, YouTube) when you interact with our pages, and from email marketing platforms regarding your subscription status.

  3. How We May Use Your Information

    • To Provide Services: To book, schedule, and deliver Source Sessions, Spiritual Life Coaching, energy healing modalities, Certifications, and other services you request.

    • To Process Transactions: To process purchases, send order confirmations, receipts, and manage billing.

    • To Communicate With You: To respond to inquiries, send service-related updates, session availability notifications, and booking confirmations.

    • To Send Marketing Communications: If you have subscribed to our mailing list, to send newsletters, SOURCE-inspired messages, event updates, and new offering announcements. You may opt out at any time.

    • To Evaluate Speaking & Collaboration Requests: To review and respond to speaking engagement and partnership inquiries.

    • To Facilitate Session Support: To use AI-assisted note-taking tools during virtual sessions to support coach preparation and client follow-up.

    • To Share Testimonials: To publish your name, likeness, and testimonial in our marketing materials where you have provided prior consent.

    • To Improve the Site & Services: To analyze usage patterns, troubleshoot issues, and continuously improve our content and offerings.

    • To Protect Our Business & Users: To detect, prevent, and address fraud, security incidents, and other harmful activities.

    • To Comply with Legal Obligations: To meet our obligations under applicable law, including tax, accounting, and record-keeping requirements.

  1. Legal Basis for Processing (GDPR - EEA Users)

    • Performance of a Contract: Processing is necessary to deliver a service you have requested.

    • Legitimate Interests: Processing is in our legitimate business interests, such as improving the Site and responding to inquiries, provided those interests are not overridden by your rights.

    • Consent: Where you have given us explicit consent, such as subscribing to our email list. You may withdraw consent at any time.

    • Legal Obligation: Processing is necessary to comply with a legal obligation we are subject to.

    • Email Marketing: Email marketing platforms (such as Flodesk) manage our subscriber list and deliver email communications.

    • Live Chat: Our live chat software provider facilitates real-time communication through the Site.

    • Scheduling & Booking: Appointment scheduling platforms manage session bookings and automated confirmations.

    • Video Conferencing & AI Note-Taking: Video conferencing tools (such as Zoom) facilitate virtual sessions and may include AI-assisted note-taking. Client information will not be used to train AI systems.

    • Business Operations: Practice management and payment platforms (such as QuickBooks) used for accounting and contractor payments.

    • Community Platforms: Platforms such as Circle facilitate our coaching community and Quantum Matrix University. Participation is subject to those platforms' own privacy policies.

    • Analytics: Analytics providers help us understand how visitors use the Site.


    5.2 Independent Coaches & Practitioners

    Our services are delivered by independent contractor coaches and practitioners bound by our Coach Service Agreement and the Quantum Matrix Center Life Coaching Code of Ethics. They are prohibited from using your information for any purpose outside of delivering services to you on our behalf.


    5.3 Legal Requirements

    We may disclose your information if required by law, court order, or governmental authority, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

    5.4 Business Transfers

    In the event of a merger, acquisition, or sale of substantially all of our assets, your information may be transferred. We will provide notice before such a transfer occurs.


    5.5 With Your Consent

    We may share your information for any additional purpose with your prior written consent, including publication of testimonials as described in Section 6.3.

  3. Sensitive Information, Session Confidentiality & Testimonials

    6.1  Session Confidentiality

    Our Services involve spiritual life coaching, energy healing, and SOURCE channeling. During these sessions, you may voluntarily share personal, emotional, or sensitive information. We treat all such information as strictly confidential. It will not be shared without your explicit written consent, except where required by law or in cases of potential harm.

    You understand that the Services are not protected by a legal privilege such as that of a therapist, attorney, or medical provider. Anonymous or hypothetical examples may be shared with coaching professionals for supervision or training purposes, with identifying information removed.


    6.2  Not a Substitute for Professional Care

    IMPORTANT: The Services provided by Quantum Matrix Center — including Source Sessions, Spiritual Life Coaching, Energy Healing, and all healing modalities — are spiritual and educational in nature. They are NOT a substitute for licensed medical, psychological, psychiatric, legal, or financial advice or treatment. Our coaches and practitioners are not licensed medical or mental health professionals. If you are experiencing a mental health crisis or medical emergency, please immediately contact a licensed healthcare professional or emergency services.

    6.3  Testimonials

    If you voluntarily provide a testimonial, you grant us an irrevocable, royalty-free right to display and publish your name, likeness, and testimonial in our marketing materials. We will always request your permission first and can anonymize your testimonial if you prefer.

  4. Cookies & Tracking Technologies

    • Essential Cookies: Necessary for Site functionality including shopping cart, session management, and security.

    • Analytics Cookies: Collect information about how visitors use the Site via Squarespace Analytics and Google Analytics.

    • Preference Cookies: Remember your settings and preferences to improve your return visit experience.

    • Social Media Cookies: Set by platforms such as Facebook, Instagram, and YouTube when you interact with embedded content on the Site.

  5. Data Retention

    • Mailing List Subscribers: Retained until you unsubscribe or request deletion.

    • Transaction & Purchase Records: Retained for a minimum of seven (7) years for tax, accounting, and legal compliance.

    • Session & Coaching Records: Retained for the duration of the coaching relationship and a reasonable period thereafter.

    • Inquiry & Contact Form Data: Retained for up to two (2) years unless an ongoing business relationship is established.

    • Analytics Data: Aggregate, non-identifiable data may be retained indefinitely.

    We implement commercially reasonable technical, administrative, and physical safeguards to protect your personal information. These include SSL/TLS encryption, PCI-DSS compliant payment processing, and access controls on a need-to-know basis. No method of transmission is 100% secure.
